Head Coach Ilyan Keay Full Bio and Story behind AcroPals

Ilyan started Gymnastics at the age of 4 at Bondi Waverley Gymnastics, and quickly found a lifelong love. By the age of 9 Ilyan was accepted into the Elite Stream at the State Sports Centre in Homebush, where the kids trained up to 36 hours per week.

She received a 3-month scholarship at the AIS in Canberra and trained with some of the top coaches in the country.

Before transitioning out of Elite Gymnastics by 12 after a lot of disappointments and harsh conditions.

When Ilyan was 6 her aftercare went to Paddington PCYC to train on Trampolines with John Hendry, he spotted Ilyan for her first front and back tucks up on top of the trampoline with her making sure she was safe. Straight away she knew this sport and this coach were something special.

John Hendry also ran Ryde RSL Trampoline so her mother and she began training there whenever possible around her busy Gymnastics Schedule. Ilyan wasn't immediately the most promising trampolinist and stopped for a couple of years while Elite Gym took over her life, at 12 years she resumed trampolining with the Hendry’s at Ryde RSL now under John's Daughter Belinda Hendry, who took her under her wing and helped her overcome her fear of learning new skills. Suddenly it all clicked, with a clear headspace after leaving the pressures of intensive Elite she could suddenly fly, and worked hard to get to State and then National age level competitions in DMT, Trampolining, Synchronised (and in the beginning Tumbling.)

She auditioned for Newtown High School of the Performing arts and got accepted as a Dancer, she also started Sports Acrobatics around this time with Agi Sagjal and Ben Moroney.

Ben got her tumbling on a rodded ski floor for the first time and helped her develop her love of tumbling. Agi showed her how to perform and combine skills with artistry in a women’s Trio at a competitive level.

At Sports-Acro Ilyan was lucky to be Training with her best friends, who are still friends to this day, and quickly progressed to a State and National Level in a Level 6 and Level 7 Women's Trio under Agi and Bens expert guidance, with a Silver and Bronze medal overall finish at Nationals from 2001-2002.

Trampoline was Ilyan's Strongest event, so in order to train with the exceptional National Coach Nikolay Zhuravlev and his wife Nataliya Zhikhareva she had to travel to Gosford Several times a week after school on the train, then back to late evening training at Ryde and again at both on Saturdays. Days in between these gruelling sessions were dedicated to training as a Senior Dance Company member at Newtown High School of the Performing arts then more training and hopefully some homework during commutes. Ilyan was still also training as a Level 8 Gymnast at Fivedock Leisure Centre during Year 7.

School holidays were never holidays, they were national Squad Training Camps or competitions.

From 9-16 years her longest time off would have been a couple of weeks.

Ilyan travelled the circuit with her Ryde Teammates winning many State and National Medals over 3 years in Trampolining and Synchronised and even two Bronze medals in her First international Comp, the Australian International Challenge on the GoldCoast in 2002.

Ilyan was on the State Teams in Trampolining from 2001-2003, a National Squad member and was twice awarded NSW athlete of the Year (2002-2003)

Ilyan finally got to travel and Represent Australia overseas in the Flower Cup in Holland in 2003 and culminated her competitive career with a strong finish at the World Age Games in Hannover in 2003. Getting through the last year was tough, and physically painful due to some long-term injuries and mental health issues. She was struggling with an undiagnosed eating disorder over her last year of training and competition, so she set the goal to finish strong at Worlds and finally quit and attempt to have a normal life.

While this should have been the start of the next phase of her competitive life, Ilyan was completely exhausted and over it. Mentally drained and now suffering greatly from the eating disorder brought on by years of being told her body needed to be this way or that way, weighed as a young gymnast daily and told in every way possible that she was not good enough as a Gymnast or as a person.

Brilliant and caring coaches had helped her gain her confidence from the age of 12, but the damage had already been done, while no one coach is to blame, Gym sports were a very tough and very difficult environment to be raised in.

Coaching Part-time without being a part of a club or competitive environment was very key to Ilyan's recovery and eventual career. Acrobatics became a way to channel all of the best parts of her training experiences, the friendships, the thrill of successfully completing a skill, the feeling of flight when performing an aerial, the hard work, determination and focus required to achieve one's goals. She felt let down by Gymnastics Australia who offered no support when she quit even after reaching out, and wanted no part of club environments, even with the overall positive experiences in Trampolining and Sports Acrobatics.

A part-time job quickly became a full-time career teaching Acrobatics and Dance studios across Sydney.

In 2019 AcroPals was born, Ilyan put her savings into purchasing equipment and starting in a small Yoga Studio in Marrickville run by an ex-student. Acropals quickly grew and currently runs in aftercare at Newtown Public School, at St Peters Anglican Church and Amera's Palace Marrickville.

The focus has always been quality classes over quantity, with consistently full classes and a family-friendly environment with parents watching and even participating in some classes. AcroPals most advanced students are training to be teachers through the Teacher Training Program and AcroPals students are proud to be a part of a family that appreciated them no matter where they are on their Acro Journey.

They know that everybody is an acro body, and everybody has the chance to be an Acropals Acrobat and develop their love of Acrobatics away from the rigours of competitive training and damage it can cause.

AcroPals proudly teaches kids that their accomplishments big and small matter, and that while humility and discipline are required, they can achieve much with little training, have great fun and create lasting friendships along the way.

We have created a friendly supportive environment for our students, staff and parents at AcroPals.

While we are laid back and Ilyan and any other staff are always happy to work with you and not against you, you must follow our parent code of conduct whilst you or your child is a student of AcroPals.

As you will see these rules are put in place for the protection of you/ your Children.

Please offer suggestions and feedback to Ilyan Keay or via a suggestion box.


General Rules

  • Make you and your child known to coaches/ staff at your first lesson.

  • Do not leave the premises if your Child is unable to go to the bathroom unassisted.

  • Do not leave private Lessons.

  • Do not enter the bathrooms if another child other than your own is present.

  • If you see a stranger in the waiting areas or hanging around please notify staff immediately.

  • Alert AcroPals to your Social Media Preferences on Registration.

  • Disclose all relevant medical information about your child to staff.

  • Ensure your Child has an inhaler or Epipen on them at all times if necessary and inform your Child’s Coach of this on a regular basis.

  • No nuts on the premises.

  • Do not assist any Child But your own during class. If you see another child struggling try to get a coach/ assistant to help them.

  • Make sure your Child is appropriately clothed for an Acro Class with their hair tied up.

  • Make sure your Child Has a Water Bottle at EVERY class.

  • If you see something Say Something! Please email Ilyan directly with any Concerns or leave a note via our suggestion Box.


Behaviour


  • Do not speak negatively about any Students of AcroPals including your own Children.

  • Do not gossip about other students, staff or parents.

  • Do not coach your child during class, if you have a question or comment direct it to the coach.

  • Do not enter the classroom unless your coach has said it is okay or has suggested you watch/ assist your child.

  • Please observe your child but do not berate or correct them during class, think of how this may affect other children in the class who may be making the same mistakes as your child.

  • If your child is misbehaving; you may ask a coach if you can have a word with your child and speak to them outside of the classroom away from other students.



Pick Ups

  • Provide Written Notice Ahead of Time if someone other than yourself will be picking up your child/ carpooling.

  • Do not ask your child to come down to meet you at the car/ on the street after class as staff will be forced to accompany your child and make sure they are released to you safely. This can take time and supervision away from the children in the next class.

If you will be late to collect your child;

  • If there are more classes your child will be asked to sit and watch inside the classroom or inside one of the Children only areas to wait for you.

  • If it is the last class of the day Phone the coach immediately.

  • The coach may ask another adult to wait with them and your child for you to arrive.

  • If you are more than 10 mins late to collect your child 3 times on the 4th instance a fee of $15 per 15 minutes will apply and a meeting will be scheduled with your coach.



Phones and Photography

  • No Phones Zone; Inside the Classroom, Kitchen, Change Rooms, Bathrooms.

  • Phones are permitted in the waiting areas.

  • Do not film or photograph at any time during classes.

  • Only coaches are permitted to have phones in the classroom.

If you are called in to assist or watch your child in a class. Put it in your Pocket.

  • You may ask a Coach or Staff member to photograph or film your Child only. But do not disrupt the class to do so.


Social Media Policy

  • Do not Share DropBox Folder links.

  • Do not share or post or Images/ Videos that contain any other children but your own.

  • Please monitor your child’s social media profiles and messages and do not encourage them to communicate with staff.

AcroPals Social Media Policy

All photos and videos during classes from the waiting area prohibited.
We often make time at the end of class for parents to come in to watch 'show and tell.' If your Child/Children is doing individual tricks you may ask the coach if you can film / photograph them or your Coach will do this for you.

  • No filming under any circumstances without your coaches approval.
    Be mindful that if your child is doing a partner or group trick you must not film or photograph them.

  • Coaches or assistants will usually film or take photos in each class, these photos will be uploaded privately to a class dropbox folder.

  • Once Per Term we conduct professional quality photos during class and these are posted to the class DropBox folders.

  • New folders will be created each School Term so past students will no longer have access.

  • The parent or guardian who registered via the AcroPals Portal will be emailed access to this folder.

  • You must not share this folder with others unless they are a parent/ guardian of your Child/ Children.

  • You must opt out of your child being filmed/ photographed, please make your preferences known to Miss Ilyan before attending paid classes and we will ensure they are not filmed/ photographed.

  • Do not share or post photos or videos of your child that feature other children without prior approval from AcroPals Staff. Some families have opted out of social media posts for their Child/Children.

  • Do not speak about or name other students or parents on Social Media without prior permission.

  • Direct all communication to Ilyan Keay where possible via email; info@acropals.com

  • We will never name Children by first and last name in Social Media Posts.

  • We will not accept friend requests from our students on facebook or communicate with them via direct message unless parents are running the account and have given permission for videos/photos to be sent this way. This is the exception and not the rule!

  • Do not encourage your children to communicate with teachers via social media.

  • Teachers will ignore any requests or messages of a personal nature and limit any communication to class content only. We will avoid communicating with students and direct them to get their parents to communicate with us directly.

  • Example of Communication that will be ignored;

“Hi Miss, I just saw this movie and it is awesome, have you seen it yet?” “Hi Miss, I hope you are having a great holiday! I miss class!”

Example of Acceptable Communication;

“Can you please send me the Choreography we did last week so I can Practice at home?” “I am going to be late to class today and I wanted to make sure you knew.” “Here is a video of something I would love to learn in class.”

  • Parent Run accounts will sometimes be tagged with prior permission from the studios/ parents.
    * We will not tag Parents or Children in posts unless given prior permission.
    * We will try to make photos/ videos of a general nature and avoid heavily featuring faces, school uniforms, or other identifiable features unless given the okay by parents. We will ensure photos that do not meet appropriate standards and could be misused are deleted and not stored or posted.

Acrobatics Class Waiver

AcroPals Acrobatics Class, Workshop & Online Course Waiver/ Medical Release


AcroPals and AcroPals Academy Acrobatics Classes, Tumbling Classes, Acrobatics Workshops, Online Acrobatics Courses, Private Lessons, Online Private Lessons, and Dance Classes.

In exchange for the applicant of myself/my child’s participation in the activity of AcroPals and AcroPals Academy Acrobatics Classes, Tumbling Classes, Acrobatics Workshops, Online Acrobatics Courses, Private Lessons, Online Private Lessons, and Dance Classes, I agree that:

1. Disclose to the instructor before the activity any disability, illness or injury that may be affected or aggravated by myself/her/him participating in a class or activity. I acknowledge that the instructor is relying on this statement in allowing the applicant of myself/child/children to take part in the course or class.

2. Release the instructor, employees, other students and AcroPals and AcroPals Academy from all liability for any claim or demand or damage or personal injury or illness whether arising as a result of negligence, breach of statutory duty or any other cause of action sustained by the applicant or myself/child/children AcroPals and AcroPals Academy instructor, employees or other students.

3. Accept responsibility for all medical costs which may occur as a result of the applicant or myself/ my child’s actions during all Acrobatics classes, Tumbling classes, Acrobatics workshops, Online Acrobatics Courses and dance classes with AcroPals and AcroPals Academy

4. Acknowledge that in the conduct of the class or other activity, some physical contact will occur between the applicant or myself/child/children and the instructor and other members of the class.

6. Acknowledge that the applicant or myself/ your child needs to abide by the behavioral code of conduct in the student handbook and, as per our risk assessment policy therein includes the right to evict anyone from the class, at any time and without warning, if they breach or appear to breach any of the guidelines for creating a safe environment.

7. The applicant acknowledges that if the parent is late the applicant is aware that it is not the responsibility of AcroPals and AcroPals Academy instructors or staff to mind my child/children.

8. My child/children are capable of attending bathrooms’ facilities by themselves. Alternatively, parents or guardians must stay on site.

9. Acknowledge that if you/ your child misses a class there an opportunity for makeup class within that same 10 week Term time frame only. Makeup classes are only available IF an appropriate level of class is on offer and available at that location during that term. Makeup classes are only available IF the alternative class is not at capacity. Makeup classes must be arranged prior to the makeup class with the Director or the Coach.

10. Be aware that participants in the class may have food allergies, please be considerate of what you/ your child brings to class. AcroPals and AcroPals Academy, their instructors and staff are not responsible for the food that may be brought on site that may cause harm.

11. AcroPals and AcroPals Academy are not responsible for any lost, stolen or damaged property.

12. Keep confidential the unique methods of Acrobatics, AcroYoga, Tumbling and dance content and method that AcroPals and AcroPals Academy may have proprietary rights to. The applicant agrees that the method is made known to me/my child/children by the instructor solely for the purpose of myself/child/children participating in the online course or class and learning the method for their own personal (not professional) use.

13. Acknowledge that AcroPals and AcroPals Academy is not liable for any claim for demand, damage, personal injury or illness sustained by me or myself/child/children as a result of any social function in which I may choose to participate, even if the event is arranged and organized or directed by AcroPals and AcroPals Academy.

14. Declare all information provided by the applicant in relation to myself/child/children to the instructor in the registration form, or in any other way, is true and correct.

15. The applicant acknowledges that - AcroPals and AcroPals Academy Student Handbook and Parent Code of Conduct have been read and understood.

16. Fully understand the nature of Acrobatics Classes, Tumbling Classes, Acrobatics Workshops, Online Acrobatics Courses, Private Lessons, Online Private Lessons, and Dance Classes and give my consent to participate or for myself my child/children to participate in knowing and accepting those activities are inherently dangerous and that they are doing so at their own risk.

17. Any person taking Acrobatics Classes, Tumbling Classes, Acrobatics Workshops, Online Acrobatics Courses, Private Lessons, Online Private Lessons and Dance Classes connected with AcroPals and AcroPals Academy activities acknowledges that they do so entirely at their own risk.

18. The applicant agrees that he/she is in no way qualified or authorized to Teach or Demonstrate Acrobatics and dance publicly or privately in any way whatsoever for personal, monetary or any form of gain whatsoever unless with written authorization. If they try and are injured it is at their own risk.

I understand and agree to all the above terms and conditions of this enrollment for myself/ my child/children into Acrobatics Classes, Tumbling Classes, Acrobatics Workshops, Online Acrobatics Courses, Private Lessons, Online Private Lessons, and Dance Classes.

I am over 18 years old (If you are the applicant) or I am a legal guardian for the applicant. By agreeing to this statement, I declare that the aforesaid participant is in good health, with no physical conditions that might prevent his/her/my participation in strenuous and rigorous Acrobatics and dance activities and other training and performance connected to the activities.

The undersigned(s) being over the age of 18 or the lawful parent(s) and/or guardian(s) of the below applicant (the "Applicant"), hereby consents to the participation by the Applicant/Child in Acrobatics Classes conducted by Ilyan Keay (AcroPals) and to the participation of the Applicant/Child in all events relating to the activity.

The undersigned hereby further authorize (s) any of the staff, employees, agents, and representatives of Organiser to provide for, approve and authorize any health care at any hospital, emergency room, doctor’s office or other institution; employ any physicians, dentists, nurses, or other person whose services may be needed for such health care; review and if necessary to disclose the contents of any medical records; execute any consent form required by medical, dental or other health authorities incident to the provision of medical, surgical or dental care to the child. Health care shall include but not be limited to the administration of anesthesia, X-ray examination, the performance of operations, diagnostic and other procedures.

If there is a medical emergency, the AcroPals Coach/ Staff Member will first use reasonable efforts to contact the Emergency Contact/ Parent(s) and/or guardian(s) before administering or authorizing any treatment.


Notwithstanding other provisions in this Consent Form, AcroPals shall not have the authority to withhold or withdraw life-sustaining procedures for the participant.


The undersigned assume(s) all risk of injury or harm to Myself/ the Child associated with participation in the Activity and agree(s) to releases, indemnify, defend and forever discharge AcroPals and its staff, employees and agents of and from all liability, claims, demands, damages, costs, expenses, actions and causes of action in respect of death, injury, loss or damage to Myself/ The Child or by the Child, howsoever caused, arising or to arise by reason of or during Myself/ My Child's participation in the Activity.

This Consent Form may be revoked at any time before the expiration date with written notice to AcroPals.

1. STATEMENT OF COMMITMENT

AcroPals is committed to ensuring that the safety, welfare and wellbeing of children are maintained at all times during their participation in activities run by AcroPals.

Every person, Subcontractor, Volunteer and Employee is bound by this Policy must always place the safety and welfare of children above all other considerations. AcroPals acknowledges that our staff (paid or unpaid) provide a valuable contribution to the positive experience of our students. Accordingly, any person involved in the instruction, management or coaching of any member under the age of 18 years will be asked to undergo screening procedures including police and other probity checks.

All Staff and Volunteers have WWCC that have been registered and their status monitored online.

 

2. POLICY APPLICATION

This Policy applies to all students and staff of AcroPals, athletes, coaches, employees, administrators, officials and volunteers. This Policy applies equally to members involved in all facets of AcroPals Classes in all of its locations, including Acrobatics Classes, Tumbling Classes, Sports Acrobatics Classes, Workshops, Courses, Private Lessons and Online Communication and conduct. This Policy applies to behaviour occurring both within and outside the course of AcroPals business, activities and events, when the behaviour involves members and negatively affects relationships within AcroPals’ sport and work environment.

 

3. DEFINITIONS & POLICY COVERAGE

Child Abuse Relates to children at risk of harm (usually by adults, sometimes by other children) and often by those they know and trust. It can take many forms. Children may be harmed by both verbal and physical actions and by people failing to provide them with basic care. AcroPals Child Protection Policy – March 2018 1

Child abuse may include:  Physical abuse by hurting a child or a child’s development; for example hitting, shaking or other physical harm, giving a child alcohol or drugs, giving bad nutritional advice, or training that exceeds the child’s development or maturity.  

Sexual abuse by adults or other children where a child is encouraged or forced to watch or engage in sexual activity or where a child is subject to any other inappropriate conduct of a sexual nature (eg. Sexual intercourse, masturbation, oral sex, pornography including child pornography or inappropriate touching or conversations).  

Emotional abuse by ill-treating a child; for example, humiliation, taunting, sarcasm, yelling, negative criticism, name calling, ignoring and/or placing unrealistic expectations on a child. Neglect; for example, failing to give food, water, shelter or clothing or to protect a child from danger or foreseeable risk of harm or injury.

Child Protection Members must not employ or engage a person (whether paid or unpaid) to coach or otherwise supervise a child under the age of 18 years without first:  

Requiring that person to disclose whether or not he or she has been convicted of a serious sex offence. Conducting a police or other appropriate probity check on that person. A member must notify the appropriate authorities (such as the Commission for Children and Young People) of:  

Any applicants for employment that the member rejected as a result of risks identified through screening processes. The name and other identifying details of any person against whom relevant disciplinary proceedings have been completed by the member in relation to child abuse (sexual or otherwise) irrespective of the findings.

 

4. ROLES AND RESPONSIBILITIES Administrators

Administrators must ensure that the organisation he or she is employed or engaged by: Encourages reporting of discrimination, harassment or child abuse, regardless of who the offender might be, and that appropriate training is provided to those who manage and implement this Policy.

 

5. COMPLAINT PROCEDURES AND DISCIPLINARY ACTION

AcroPals has developed a Complaints Management Procedure and will deal with any complaints about breaches of this Policy promptly, seriously, sensitively and confidentially. AcroPals recognises that natural justice is the minimum standards of fairness to be applied in the investigation and adjudication of a complaint.

Disciplinary action will be taken by AcroPals against anyone who:  

Is found to be in breach of this Policy;

Victimises or retaliates against a person who has complained of a breach of this Policy;

Is found to have made a frivolous or vexatious complaint.

The discipline will depend on the severity of the case and may involve any apology, counselling, suspension, dismissal or other form of action.

6. COMPLAINT HANDLING PROCEDURE

Procedural Steps AcroPals undertakes to deal with any complaints of a breach of the Member Protection Policy promptly, seriously, sensitively and confidentially. At any stage, it is the prerogative of the complainant to proceed with, or dissolve, a complaint.

Discussion Should a complaint arise, AcroPals encourages the complainant to consider the following options:  Approach the person creating the problem and ask him or her to stop the behaviour;

If the behaviour continues, or it is not possible to approach the person, contact either:

Coach or supervisor;

&/or o Director Ilyan Keay or other official of the business.

If the complainant decides to proceed, the Director determines whether or not to investigate the complaint. If the Director determines to investigate, the Director: Informs the alleged wrongdoer; Interviews both parties separately; Keeps confidential records of the process; Attempts mediation to achieve resolution; & Follows up on the complainant.

If no resolution is achieved, the Director gives all reports to external regulating bodies including FACS and or the Police.

External Resolution If the complaint is not resolved, the complainant may make a written complaint to an external organisation for mediation or arbitration. If the complaint is upheld, a remedy will be prescribed by that external organisation.

 

7. SUGGESTIONS FOR WORKING WITH CHILDREN

Communication Boundaries  

AcroPals coaches, subcontractors, staff and volunteers will be aware of their communication style and how what they say and do may be interpreted.  

Not all children will understand an action, request or behaviour in the same manner. One child may see an action as usual or acceptable behaviour while another may find it unacceptable. A child’s interpretation of an action may also be influenced by cultural and religious differences, disability, gender and prior experiences.  AcroPals Coaches will explain in front of all children (and parents, if possible) their methods of instruction and when and where they will need to touch/ assist them, if at all. Use positive and age-appropriate language when talking to and in the presence of children.

Ensure feedback is linked to performance and is not of a personal nature.

Never Berate or Shame a Child.

Never Single a Child out negatively in front of other Students or Parents.

Never be overly critical of a student.

Will not show favouritism or form a special relationship with a student.

Physical Contact Boundaries  

AcroPals coaches, subcontractors, staff and volunteers will ensure any physical contact with children is relevant and appropriate to the development of the skills required for the activity. They will seek permission to touch when development of the skill is required. Be careful about which part of your body and how much of it is in contact with a child’s body. They will not engage in any intimate, over-familiar or sexual relationships with people under the age of 18 years.

Location Boundaries  

Avoid unaccompanied and unobserved activities (ie. Being alone with a child).  Avoid entering change rooms. If they must enter, knock or announce that they will be coming in and try to have at least one other adult present. They must not isolate themselves and a child from others in the change room.  They will avoid driving a child unaccompanied and will not invite or encourage children to their home.

Knowledge Boundaries  

AcroPals coaches, subcontractors, staff and volunteers will understand and comply with all relevant policies.  Understand and comply with the child protection legislation in NSW.  Seek out opportunities to enhance their knowledge on child protection.  Keep coaching skills and accreditation up to date. They are encoraged to not be afraid to ask questions and to seek advice.

Leadership Boundaries

AcroPals coaches, subcontractors, staff and volunteers do not engage in or let others engage in:  Abusive initiation or team bonding activities; Rough physically hurtful or sexually provocative games; or Regular scapegoating, ridiculing or taking the ‘Mickey out’ on a child.

 

8. COACHING CHILDREN WITH SPECIAL NEEDS

Coaching or working with children with special needs may require more frequent physical contact and touch as a means of meeting the duty of care to them. Touch may be an agreed form of communication between a child, their parent and coach where the child has a communication disability. A coach and others may need to be more vigilant and thoughtful in their physical interactions and different approaches may be required. However, the basic practices and information outlined previously remain applicable to all children. Sporting organisations, coaches and others have a duty of care to protect children from physical and emotional harm and, while the ways of meeting this duty may differ for different groups, the duty itself remains unqualified. Everyone expected to meet this duty should do so in a manner that respects the dignity of all children as well as their vulnerabilities.

 

9. CULTURAL CONSIDERATIONS

Different cultures have different attitudes and traditions surrounding the concept of appropriate touch. It is important that coaches and others appreciate culturally specific expectations regarding touch so that embarrassment or offence can be avoided for everyone. Where children (and families) are known or suspected to have escaped traumatic circumstances, considerable diplomacy, care and effort in early interactions will need to be taken. Many culturally based community organisations are very keen to address other groups, including sporting groups, about the values of their culture and to establish understanding and respect – it may help to invite or seek their advice so that sport personnel become more familiar with the values of the cultural groups of the children participating in their sport. 10. USE OF IMAGES

Acquiring Images  

If acquiring an image of a child, permission needs to be obtained from the athlete’s parent/guardian prior to taking the child’s image. All Parents/guardians are required to give permission on enrollment, before acquiring an image of a child consult with the Director to confirm that that permission has been given for each child participating and in what capacity that permission has been given. AcroPals coaches, subcontractors, staff and volunteers will send all images and videos to the director and will not post or use outside of classes.

AcroPals coaches, subcontractors, staff and volunteers where possible, will request that all people taking photographic/video images (including spectators, parents, coaches, professional photographers or members of the media) register at an event or facility.

Provide members of the media and professional photographers with an identification pass that they wear for the duration of the event. Clearly outline to professional photographers that all images taken will remain the property of AcroPals or the organisation running the event and can not be used or sold for any other purpose. Also outline that all negatives/proofs etc need to be destroyed or given to AcroPals or the organisation running the event at the conclusion of the event for which the photographer has been contracted or within a specified timeframe.  

Clearly outline what is considered appropriate behaviour and content (ie. the image obtained in the photo or by video) to those taking photographic/video images. Publicise this information throughout your classes so that your members understand what behaviour from photographers your organisation considers appropriate.  Do not allow photographers (professional photographers, spectators, fans, coaches or members of the media) unsupervised or individual access to athletes/children.

Do not approve photo/video sessions outside the event venue or at the home of a child unless parent/guardian consent is obtained and they agree to be present at the photo opportunity. Provide details of who to contact if concerns or complaints of inappropriate photographic behaviour or content are raised.

Displaying Images  

Teachers and Coaches do NOT have permission to display images or videos taken during classes on their personal accounts, business accounts or in any way outside of AcroPals Website, Instagram Facebook and Course Content.

If permission needs to be obtained from the parent/guardian of the athlete/child, AcroPals teachers and admin will obtain it prior to using the image of the athlete/child.

We will ensure that all concerned are aware of the way in which the image is to be used and for how long the image will be displayed.  If the athlete/child is named, we will avoid using their image.

If an image is used, AcroPals will avoid naming the athlete/child. If this is not possible we will avoid using both a first name and surname.  

AcroPals will not display personal information such as residential address, email address or telephone numbers without gaining consent from the athlete/child, or if applicable, their parent/guardian.  

AcroPals will not display information about hobbies, likes/dislikes, school, etc as this information can be used as grooming tools by paedophiles or other persons.  

AcroPals will only use appropriate images of the athlete/child, relevant to the sport or activity, and ensure that the athlete/child is suitably clothed.

Images of athletes participating in sports or activities that involve minimal clothing (eg. swimming and gymnastics) or unusual body positions/poses could potentially be misused.

The age of child is another factor that will be considered when deciding if the image is appropriate.

The images used will focus on the activity and not on a particular child.  

AcroPals will reduce the ability for the direct copying of pictures from a website to another source (ie. disable the ‘right mouse click’ function).  

AcroPals will provide details of who to contact and what to do if concerns or complaints of inappropriate image use are raised.

 

11. CONFIDENTIALITY AND REPORTING

AcroPals will keep confidential the names and details relating to complaints, unless disclosure is:  Necessary as part of the disciplinary or corrective process. Required by law.
